User roles explained

Admin, clinician, and viewer — what each can and cannot do.

QOOM has three user roles. Each role controls what a user can do within their organization.

Admin

Full access to the organization.

  • Create, approve, and disable users
  • Change user roles
  • Manage organization settings and billing
  • View audit log
  • Create and process sessions
  • View, edit, and delete subjects and sessions
  • Generate and share reports
  • Export data

Clinician

Day-to-day operational access.

  • Create and process sessions
  • Create and edit subjects
  • View all sessions and subjects within the organization
  • Generate and share reports
  • Cannot manage users, billing, or organization settings

Viewer

Read-only access.

  • View sessions and subjects within the organization
  • View reports
  • Cannot create sessions, edit subjects, or access administrative functions

Changing a user's role

Only administrators can change roles. Open Admin → Users, click the user, update the role dropdown, and save.

Approval workflow

New users register themselves. An administrator must approve them before they can log in. Pending users cannot access any data.

If a user is rejected, their account is set to disabled. A disabled user cannot log in but their data remains for audit purposes.
